In 2016 the Gabert Library was one of three academic libraries in the United States to receive the Excellence in Academic Libraries Award from the Association of College and Research Libraries (ACRL), and in 2019 the HCCC Tutoring Center received the Frank L. Christ Outstanding Learning Center Award for Two-Year Institutions. In 2019, the College joined Achieving the Dream, a network of high achieving community colleges, part of its expanding effort toward continuous improvement in student success.

Department / Division Introduction

The Division of Continuing Education and Workforce Development is an exciting and entrepreneurial office within the College, which offers a wide variety of non-credit classes, training courses, seminars, webinars, and pathways to a degree program for community members and businesses. These offerings are focused on revitalizing careers, upgrading skills and credentials, growing businesses, and pursuing pastimes and passions. Additionally, the HCCC Center for Business & Industry (CBI) is the area leader in developing and delivering educational classes and programs for Hudson County’s businesses, organizations, and individuals. Position Summary / Job Description

Reporting directly to the Associate Vice President the of CEWD, the Administrative Assistant will assist in the daily operations of the division. The Administrative Assistant will have experience in independently prioritizing their own workload in determining how best to accomplish work objectives and provide administrative support. This senior support professional is also proactive in identifying, independently following-through, and resolving various issues. Manages special assignments and projects, as required.

 

Position Responsibilities

  • Provide administrative support to the Associate VP of the division by scheduling appointments, maintaining their appointment calendar, and answering phones.
  • Schedule and coordinate staff and other meetings.
  • Prepare communications, such as memos, emails, reports, and other correspondence.
  • Write and edit documents such as letters, reports, and instructional documents.
  • Create and maintain filing systems, both electronic and physical.
  • Collate and distribute mail.
  • Ensure that the office is running efficiently.
  • Create purchase requisitions as needed.
  • Process hiring paperwork for hiring full-time employees.
  • Work with Bookkeeper to process part-time hires and division accounts payables.
  • Manage special projects as assigned by the Associate Vice President.

 

Position Requirements / Qualifications

  • Minimum of an Associate’s degree is required with a minimum of three to five years of related work experience.
  • Strong organization and record keeping skills required.
  • Attention to detail.
  • Effective written and verbal communications and interpersonal skills required.
  • Working knowledge of standard office equipment and software required.
  • Computer and keyboarding proficiency required with an emphasis on word processing, spreadsheet, and data management skills.
  • Basic courtesy, tact, diplomacy, negotiation, and influence skills are required, as well as effective problem-solving skills and the ability to operate independently, prioritize and organize own work schedule, multi-task, and meet established deadlines.
  • An understanding of a commitment to the role of a comprehensive community college in an urban multi-cultural setting is also required and prior experience working with non-traditional students from diverse cultural and ethnic backgrounds are essential.
