Position Summary

The Part-time Development Assistant is an integral member of the Hudson County Community College Foundation Advancement team. Part-time staff are authorized to work up to 24 hours a week.

This role:

  • Provides administrative and general office assistance to the Assistant to the Vice President for Planning and Development. This includes researching and updating the contact information of prospective donors, drafting, and compiling general business correspondence and e-communications for varied HCCC audiences. 
  • Drafts administrative memoranda, letters of correspondence, requests for gift renewals, and thank you and acknowledgement letters.
  • Maintains donor records, file clean-up, and general data integrity.
  • Produces, maintains, and distributes reports.
  • Coordinates event mailings with multiple stakeholders.
  • Monitors and responds to phone and email inquiries from donors and potential donors, including donor information updates and programming questions.
  • Schedules site visits and meetings, compiling necessary information for the meetings; attends advancement meetings when requested and produces materials for presentations; and assists in coordinating a range of in-person and virtual events.
  • Performs related duties and responsibilities as assigned/requested.

 

Required/Minimum Qualifications

Associates Degree or higher with a minimum of three years' administrative or related experience required. Strong communication, organizational, writing, and interpersonal skills essential. Strong computer skills, including working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook), Google Suite, and data management experience required. Must be detail-oriented, self-motivated, able to work independently, and manage multiple responsibilities simultaneously in a high-volume environment.  High degree of discretion when handling highly sensitive and confidential information required. Demonstrated ability to interact with a culturally diverse population and to effectively and respectfully function and communicate within the context of varying beliefs, behaviors, orientations, identities, and cultural backgrounds.

 

Preferred Qualifications

Volunteer management experience is highly desired. Knowledge of MailChimp, Constant Contact and leveraging social media for good.  Event planning experience helpful.  Interest in fundraising with some fundraising or development office experience preferred.
