This policy outlines the guidelines for the use of college facilities by third party/external groups.
Throughout the academic year, campus facilities are designated primarily for students, faculty, and staff to support institutional activities consistent with the College's mission and objectives. When not required for academic or departmental purposes, external groups may rent facilities for non-institutional activities subject to procedures and guidelines established for this purpose. The Board delegates to the President the responsibility to develop procedures and guidelines for the implementation of this policy. The School of Continuing Education and Workforce Development will ensure compliance with this policy in all relevant actions.

Introduction
The purpose of this procedure is to set forth the basic guidelines for use of College
Facilities (“College”) by third party/external groups. The intent of these guidelines
is to clearly communicate to internal and external parties the conditions and requirements
for such third-party individual’s or group’s use of College facilities. All individuals
and organizations interested in using College facilities will adhere to the procedures
set forth herein.
Third Party/External Groups:
Third party external groups is/are defined as any group, organization, individual,
or program not affiliated with the College that is/are requesting to use College facilities
for non-institutional event(s). Alumni and employees arranging personal events qualify
as external groups. College facilities are not available to external organizations
unless they are sponsored by an Official College Office or Group, or receive approval
from the Assistant General Manager, Flik@Hudson County Community College.
General Conditions:
The following conditions apply to external parties using College facilities.
Facility Use Agreements and Insurance:
All External Groups and Sponsored Groups seeking to use campus space for non-college
business must sign the College’s Contract that includes a copy of the Facilities Use
Agreement, which will set forth the conditions of such use and applicable insurance
and other requirements. General Liability insurance is mandatory for all rentals,
covering event dates/times, with minimum limits of $1,000,000 per occurrence and $3,000,000
general aggregate. Such policies shall be endorsed to name “Hudson County Community
College, 70 Sip Avenue, Jersey City, NJ 07306” as an additional insured. A Certificate
of Insurance evidencing these requirements shall be sent to the Assistant General
Manager of Flik@Hudson County Community College or the Catering Manager of Flik@Hudson
County Community College. Full copies of all policies shall be provided upon request.

| * Fees are subject to change and may be reduced or waived at the discretion of the
College if food and beverages are purchased. Additional costs for security, technology,
linen, and equipment rentals may apply as needed and as determined by the College.
